How Opus Audio Visual Ltd collects, uses and protects your personal data.
Opus Audio Visual Ltd (“we”, “us”, “our”) is committed to protecting your personal data. This policy explains what data we collect, why we collect it, how we use it and your rights in relation to it. It complies with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

2. What data we collect
We may collect the following categories of personal data:
- Contact information — name, email address, telephone number, company name and postal address, provided when you contact us, request a quote or become a client.
- Project information — site details and requirements you share with us in connection with a quote or project.
- Financial information — billing details necessary to process invoices and payments.
- Communications — records of correspondence with us by email, telephone or post.
- Website data — IP address, browser type and pages visited, collected automatically via our web hosting provider in standard server logs. We do not run analytics or behavioural-tracking software (no Google Analytics, Meta Pixel, LinkedIn Insight tag, or heat-mapping) and we do not set our own tracking cookies.
The contact form on this site is processed by Formspree (Formspree, Inc., based in the USA), which receives your submission and forwards it to us by email. Formspree acts as a data processor on our behalf under its own data-processing terms. See Formspree’s privacy policy.
3. Why we collect it and our legal basis
We process personal data on the following legal bases:
- Contract — to fulfil orders, issue invoices and carry out the services you have engaged us to provide.
- Legitimate interests — to respond to enquiries, maintain our client relationships and improve our services.
- Legal obligation — to comply with tax, accounting and employment law requirements.
- Consent — where we send you marketing communications (you may withdraw consent at any time).
4. How we use your data
We use your personal data to:
- Respond to your enquiries and provide quotations.
- Deliver, install and maintain the goods and services you have ordered.
- Issue invoices and process payments.
- Keep records required by law.
- Communicate with you about ongoing projects and service arrangements.
- Contact you about products and services that may be relevant to you (where you have consented or we have a legitimate interest).
5. How long we keep it
We retain personal data only for as long as necessary for the purposes for which it was collected:
- Client records and financial data: seven years from the end of the relationship, to comply with HMRC requirements.
- Enquiry and quotation records not resulting in a contract: two years.
- Marketing contact data: until you withdraw consent or opt out.

- Sub-contractors and specialist partners — only where needed to deliver a project, and only to the extent necessary.
- Accountants and professional advisers — under strict confidentiality obligations.
- Statutory authorities — where required by law (e.g. HMRC).

- Correct inaccurate data.
- Request deletion of your data (subject to legal retention requirements).

8. Security
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or destruction. Access to personal data is restricted to those who need it to carry out their responsibilities.
9. Cookies and third-party embeds
Our own site does not set tracking cookies. The only browser storage we use is functional — for example, remembering whether you have dismissed a notice on the site.
Some pages embed content from third parties, who may set their own cookies when that content loads. Specifically:
- Google Maps on the contact page, so you can find us. Google may set cookies under its own privacy policy.
- YouTube or Vimeo where we embed a video on a project or sector page. These set their own cookies when the player is interacted with.
- Formspree when you submit the contact form (see section 2 above).
If you would rather not load this third-party content, your browser settings will let you block third-party cookies and embedded media globally.
